Goddard Library Interlibrary Loan Policy
Interlibrary Loan (ILL) is a service that provides Clark University faculty, staff, and
students with access to materials needed for research, but not owned by the Clark
University libraries (Goddard Library, Science Library, Map Library, and the Marsh
Institute). This service is governed by the American Library Association's National
Library Code and the US Copyright Revision Act of 1976 (17.United States Code. 101 et
seq.)
Interlibrary Loan at Clark is handled through the Reference Desk, located on the second
floor of the Goddard Library. The Reference Desk is staffed Monday-Thursday 9AM-9PM,
Friday 9AM-5PM, and Sunday 1PM-5PM during the semester. If you have any questions or
concerns about Interlibrary Loan you may also call either extension -7579 or -7578.
Interlibrary Loan requests are accepted via paper forms that are available at the
Reference Desk. Paper requests will only be given out and accepted at the Reference
Desk during the hours it is staffed. Please plan accordingly. As an added measure of
convenience, we now offer Interlibrary Loan forms from the Goddard Library Home Page on the World Wide Web.
Material Available for Loan Through ILL
Interlibrary Loan requests will be accepted in the following cases:
- Material not owned by any Clark University libraries
- Material listed as "lost" in the Online Catalog
- Material that has been searched for, but not found
Material Not Available for Loan Through ILL
Interlibrary Loan requests will not be accepted in the following cases:
- Material that is on reserve for course reading
- Material owned by the Marsh Institute, Science Library, Map Library, or Goddard Library
- Reference materials (eg. Oxford English Dictionary)
- Material that is being used as a texbook in a current semester's course
- Audio-visual materials (videos, cassettes, CD's)
Theses/Dissertations
There may be a time when you will want to borrow a Master's thesis or Doctoral
dissertation from another institution. We can try to order them through Interlibrary Loan.
Please fill out a book request form for these items, we will not order a photocopy for
you. Generally, libraries will only loan this type of material if they keep two copies in
the library. Also, be aware that many times these second copies are on microfilm and will
then be sent In Library Use Only. If we cannot get a thesis or dissertation through
Interlibrary Loan, you may order it yourself through UMI (University
Microforms International) at 1-800-521-3042. The price is roughly $29.50 for an unbound,
Xerox copy. Prices may be lower for microfiche copies.
Turn-Around-Time/Notification
Once an Interlibrary Loan reques is submitted to the Reference Desk, you may expect it
to take a minimum of two weeks for the request to be filled by a lending library. When
several libraries must be contacted before an available copy is located, the process will
take longer. Even though a library has an item, they are under no obligation to lend it.
Be aware that this rule applies to Massachusetts and Worcester area libraries as well.
There are some options that will allow you to obtain materials in less than two weeks.
First, the Walk-in Interlibrary Loan (WILL) program enables you to borrow directly from
the Holy Cross and WPI libraries with your Clark ID. You may also pick up books yourself
from other area libraries such as Worcester Public or Worcester State College with an ALA
form. You must fill out an ILL request form and use the area library catalogs to determine
where the material is held. An ALA form must then be filled out by a Reference
Librarian at Goddard Library's Reference Desk before you go to the lending
library. If you are looking for photocopies of journal articles, you may go directly to
any area library and copy them for yourself once you have determined that a library has
the exact journal title and year you are looking for. We cannot always guarantee that an
area library will send them through ILL. The consortium shuttle offers free transportation
to these and other area colleges daily. Schedules are available at the Circulation Desk at
the Goddard Library.
Restrictions
As stated earlier, the Interlibrary Loan service is only available for Clark University
faculty, staff, and students. Each patron is limited to 5 requests at a time for material
that can be found in the Worcester area. When submitting a large number of requests at one
time, please be advised that these will not all be ordered at the same time, but as a
limited number per week (depending on the volume of incoming requests). We ask that you
prioritize requests when submitting more than five. We are also affescted by copyright
legislation that may limit the number of articles ordered from a particular volume and
issue of a journal title.
Loan Periods and Renewals
Semester loans are for Clark University books only, this in no way applies to
Interlibrary Loan materials. The loan period for ILL books is determined by the lending
library, not by the Interlibrary Loan Department at the Goddard Library. The time period
varies from library to library, but it is usually about two weeks. If you need a book
beyond its due date, please let the Reference Desk know at least two days before the
book is due. Once an item is overdue it cannot be renewed. We will request a
renewal for you and notify you of the lending library's response. Renewal periods are also
determined by the lending library and may be shorter than the length of time you need the
material. In this case, we will work with you to make other arrangements.
Overdue/Lost Interlibrary Loan Material
You are financially responsible fro Interlibrary Loan material from the time it
is picked up at the Reference Desk at Goddard Library until the time it is returned to the
Reference Desk. Replacement costs can run $100 or more for these materials.
Should you keep a book past its due date without asking for a renewal, we will not
accept further ILL requests from you and you will be charged an overdue fine of $1.00 per
day until the material is returned to the Reference Desk. When books are seriously overdue
(a month or more) or have been recalled by the lending library, we reserve the right to
charge $10 a day until the material is returned. We may also block your student account,
which will prevent you from receiving grades or registering for new classes.
